Job Description

Purpose of role: The role of a Reservations Agent is based on having a clear understanding of the event offerings at Swingers in order to convert enquiries to sales whilst delivering 5* customer service and ultimately, exceeding sales targets.

Summary of Responsibilities:

Duties will include the following:

  • Handling incoming booking enquiries via email/phone – typically advanced bookings from 6 to 600 guests and processing them to the highest standards.
  • Swift and effective response times to calls, emails, enquires and requests from the clients and Swingers team.
  • Mutually exploring with the customer through effective questioning to meet the client’s requirements and seek the best sales opportunities.
  • Create, update and maintain enquires and pipeline in the booking systems / CRM. This includes using the bookings software to record pre-orders, take payments, book golf slots and make booking notes.
  • Negotiating dates, packages and minimum spends to help the company achieve its sales target and to maximise revenue and occupancy rate. This includes the ability to upsell.
  • Work closely with Reception, supporting them by creating daily handovers of booking reports and sales summaries.
  • Following the standard process, manage pre-orders and BEO’s (event sheets) for events of 10-50 people, maintaining clear communication with the venue to deliver faultless service.
  • Tidy maintenance of all sales administration, data and records at all times.
  • Work towards exceeding individual monthly KPIS and sales targets by following the sales strategy.
  • Identifying and maintaining key customer relationships to build repeat business and create new business opportunities.
  • Consistently chase existing pipeline enquiries to maximize conversion and revenue.
  • Conduct and organize show-rounds and client meetings as and when required.
  • Support management by participating in networking events, trade shows, showcases and other opportunities to promote the business.
  • Meet and greet clients with private hires and exclusive hires on the evening of the events.
  • Predominantly you will constantly exceed customer expectations by delivering the fantastic customer service that Swingers is built on.

Responsible for achievement of both personal and team financial targets.

  • Ensures KPIs are met.
  • Spot any potential opportunity for increased conversion and revenue and communicates ideas to the Sales Manager.
