Job Description

This Job for an Admin Job that entails the following key duties:

- Office Adminstrator

- Receptionist

- Personal Assistant

- Knowledge of Basic Procurement to respond to Contracts

- Knowledge of Basic Accounting to coordinate bookeeping matters

 

The Job responsibility involves teh follwoing aspects:

  1. Reception
  • Welcome guests, answer phone calls, attend inquiries, and take notes and transfer to the concerned party.

 

  1. Office Management
  • Be a custodian for the office, office assets and legal documents and ensure all related matters are well preserved.
  • Maintain office supplies and restocking (including pantry supplies, stationary and etc..)
  • Prepare Monthly Petty Cash Expenses
  • Responsible to arrange for necessary cleaning and maintenance for the office (including lights, AC and etc..).

 

Accounting

  • Issue Invoices, Receipts & Payment Vouchers as requested
  • Enter Invoices & Expenses to Accounting System.

 

Administration

  • Create Soft & Hard Files/Folders as required and maintain adequate Filing in current system
  • Prepare Proposals, Quotations, Offer Letters, Engagement Letters & Contracts
  • Prepare Market Research & Analysis when requested
  • Coordinate with Mall Tenants on obtaining permits, Licenses, contracts and submitting cheques and other necessary documents.
  • Prepare letters for governmental institutions and other public entities as required.
  • Apply for visas as requested.
  • Hotel & Flight ticket Search and Booking.
  • Send Mail via Courier Service Company.
  • Prepare Occasional e-greetings and post on Social Media accounts.
  • Prepare Presentations and create other templates as requested.

 

Leasing

  • Prepare leasing proposals and related documents
  • Coordinate with Mall Tenants on obtaining permits, Licenses, contracts and submitting cheques and other necessary documents.
  • Lease pocket and pop up shops for the shopping malls

 

Procurement & Tendring

  • Prepare pre-qualification documents received
  • Respond to tenders
  • Handle procurement with third parties.
