Personal Assistant Location: London What is the team like? An Investment Management team managing multi-asset family, pension, trust, offshore, company and charity investment portfolios, working closely with clients and advisers to deliver a high quality, bespoke service. What are the key responsibilities? • To provide ongoing general administrative duties and support to the team on a timely basis • Assist with the preparation, checking, distribution and streamlining of valuation reports to clients • Preparation of client meeting packs • Undertake ad-hoc letters and mail shots as required • Team expenses • Organising team events, client meetings and video conferences • Liaise professionally with clients and intermediaries as required • Help set up new clients details as necessary • Prepare timely client correspondence as requested • Keep abreast of operational and administrative procedures • Ensure all activities/actions undertaken meet and comply with compliance standards, including suitability, KYC, FATCA, etc • Liaise with the appropriate departments in respect of all admin queries and amendments to client information • Help the wider team where relevant What skills and knowledge are we seeking? This role would be well suited to candidates from a receptionist, secretarial or Personal Assistant background. We are seeking candidates that are effective communicators (written and verbal) and strong team players that can multitask between a variety of client communication tasks as well as manage diaries. Excellent knowledge of Microsoft Word, Outlook PowerPoint and Excel Excellent grammatical skills Ability to learn and develop knowledge of internal systems, including Pulse and Access systems (training will be provided) Familiarity with stock market terminology and a regulatory environment an advantage Numerate High attention to detail, ensuring accuracy in work Pro-active nature and keen to help clients The successful candidate will be able to demonstrate strong verbal and written communication skills, with a good client-facing manner. They should have good time management skills, be able to work to deadlines in a calm, methodical and professional manner, and work on their own initiative when required. The successful candidate will have a flexible attitude to work in response to changing workloads and deadlines.
